Job Description

JCC Association of North America is hiring a Junior Project Manager (JPM) to oversee all aspects of project management for a dynamic and busy marketing and communications team of five. JCC Association’s marketing team raises the profile of JCC Association to internal and external audiences. The team shapes the voice and face of all JCC Association public-facing communications and messaging platforms. For the JCCs, the team ensures the voice and visual consistency of all program materials and services in addition to the evolution of the movement-wide branding toolkit. Working cooperatively with program and content creators and the director of conferences and events, this team also manages the production of all materials for the organization’s major conferences and events. High demand and requires an exceptionally skilled PM to organize, coordinate, and manage a growing volume of projects—from start to finish—assigned to the department.

The team’s success depends on a strong PM who functions as the team’s primary time and resource planner—serving as the marketing liaison to all programs, departments, freelancers, and vendors, monitoring and prioritizing incoming requests, assigning tasks to team members, coordinating project timelines, communicating deliverables and deadlines, and ensuring all projects remain on task and budget. The PM is the first point of contact for all marketing requests and defines each project’s initial scope, scale, resources, and major benchmarks.

The PM also advises the CMO about workload concerns and risk issues; budget requirements and discrepancies; resource forecasts, and other issues affecting the team’s abilities to meet the organization’s marketing and communication goals. The PM partners with the CMO to determine how best to turn strategy into manageable and successful execution.

The PM convenes appropriate team members throughout projects to monitor status, elevate concerns, and align individuals within the marketing team and/or other departments. The PM also evaluates completed projects to identify areas for improvement.

Primary Responsibilities

  • Plan, manage, and prioritize a high volume of marketing requests and projects; track their progress; and set deadlines for key steps
  • Coordinate client meetings (with JCC Association staff) to identify and define project scope, requirements, objectives, deliverables, and timelines
  • Effectively lead and manage all components of project implementation
  • Maintain marketing calendar, monitor projects, and prepare weekly status reports to ensure projects, marketing team members, and clients are on track and on budget
  • Own project management software (Workamajig) to manage client portal; create and update project intake forms; field all incoming project requests; monitor workflows; and troubleshoot
  • Lead weekly meetings with the team to review status of all projects
  • Manage vendors and vendor relationships by defining selection criteria, identifying potential vendors, requesting and sending bids for review, awarding contracts, and supporting the production of in-house design and shipping methods
  • Manage invoices by tracking payments, updating vendor folders, and submitting complete paperwork for payment processing
